What we need

The Manager, Administrative Services, under minimal supervision, will supervise the day to day operations of the Administrative Services department and manage its staff of four, including the Administrative Services Clerk, two Electronic Document Specialists and the Receptionist. Additionally, the Manager, Administrative Services, will coordinate the administration of purchasing and new and existing contracts entered into by all divisions with TCDRS. This includes ensuring all policies and procedures governing purchasing and administration of contracts are followed and continually evaluated for best practices; monitoring terms of contracts to ensure compliance by vendors and TCDRS; and identifying and implementing improvements to the overall work processes and quality of work. They will also provide direction to staff that include such duties as budgeting, personnel administration, time and record keeping, work instructions and staff training and development.

What you’ll do

  • Manage Administrative Services staff and the processes of document imaging, mailroom (incoming and outgoing mail) and budgeting

  • Maintain departmental spreadsheet, policies, procedures and records

  • Oversee processes/procedures/systems to effectively and efficiently administer contracts

  • Review contracts for accuracy, ensure all processes are followed, and requirements met

  • Monitor all covenants, expirations and service level agreements after execution

  • Coordinate reporting to directors and managers regarding any contract issues and/or exceptions

  • Serve as back-up for the Director, Administrative Services in their absence

What you should have

  • Bachelor’s degree in Business Administration, Accounting, Finance or related field

  • Minimum of three years of experience in personnel supervision and business contract management

  • Strong management, analytical, communication and organizational skills
