At Texas County & District Retirement System (TCDRS), our primary focus is you. We take our relationship with our members very seriously and are honored that you have entrusted us with your future. Your privacy and security are very important to us, and that means protecting the privacy of your personal information as carefully as we safeguard your retirement account.
You have the right to know what personal information we collect about you. You also have the right to receive and review the information.
Why We Collect Your Information
The personal information we collect primarily is intended to improve your overall experience by helping us:
- Administer your account
- Provide the services you have requested
- Process applications and transactions
- Verify your identity
- Manage your communication preferences
- Recognize you when you return to our website
- Maintain your web session while you browse
- Monitor website usage and topics of interest
- Analyze aggregated demographic and geographic information (this information is not used to personally identify you)
Types of Information We Collect
Application and registration: When an account is opened upon employment or you register with us for online access, we collect personal information such as your name, address, phone number, email address, Social Security number and date of birth.
Your Social Security number is just one of the ways we identify you and your account to ensure that we only discuss personal account information with you. Both the IRS and Texas law require that we have a Social Security number for every TCDRS account.
Account changes: We collect your personal information when you ask us to update or change your account information.
Transaction and experience: Once you have an account with us, we collect and maintain personal information about your account activity, including your deposits, balances and federal tax withholding. The deposits you make from your paycheck into your TCDRS account are tax-deferred. When you receive payments from your account, either by withdrawal or retirement, we report it to the IRS.
Website usage: During a visit online, our systems may use devices known as “cookies,” graphic interchange format files (GIFs) or other similar web tools to enhance your web experience.
Server requests: Our servers log the following data automatically:
- The Domain Name System (DNS) or Internet Protocol (IP) address identifying your computer or Internet service provider
- The date and time of your visit
- The pages, tools and services used
- Your computer’s browser and operating system
- Any exception you may have encountered during your visit
Your Information Is Secure
TCDRS follows state best practices for protecting your personal data. Any stored Social Security numbers and date of births are encrypted on our website. We also ensure that computers, files and buildings are safeguarded.
We do not and will not sell or share your personal information to anyone, for any reason, at any time.
Your Right to Access Information
The Texas Public Information Act ("Act"), found in Chapter 552 of the Texas Government Code, gives the public the right to request access to TCDRS information that is public under the Act.
Although the Act makes certain information available to the public and creates a presumption to that effect, some exceptions exist. For example, information contained in TCDRS records concerning an individual member, retiree, annuitant, beneficiary or alternate payee is generally confidential under the Act in accordance with Chapter 845.115 of the Texas Government Code. (There are limited exceptions to this general rule of confidentiality.)
Information TCDRS receives through our website (e.g., through email or an online transaction) may be subject to public disclosure upon request under the Act depending on the applicability of any exceptions to the disclosure of the particular information.
