Your Checklist for Going Paperless
Are you ready to go paperless? Find out what steps you can take to make sure you’re ready to empower your employees and administer your plan as we make our transition to paperless.
We spent 2022 laying the groundwork to go paperless by transitioning our processes online. That effort also included enhancing TCDRS.org with new features to improve our online experience and empower TCDRS members and employers.
In 2023, we will be focusing on the two final steps to complete our journey to paperless:
-
Eliminating the use of paper forms; and
-
Increasing member website registration to ensure all TCDRS members can safely and conveniently manage their accounts.
As we prepare to stop accepting paper forms this year, please begin taking steps today to digitize your TCDRS-related processes and encourage your employees to register at TCDRS.org. Doing so will empower you to easily administer your plan and your employees to easily manage their accounts. It will also reduce the chances of processing delays.
Here’s how to get started:
Step 1: Get Your Employees Registered at TCDRS.org
Empower your employees to manage their own account information at TCDRS.org. Having an online account will save them time and hassle — and it’s bound to knock some things off your task list, too.
-
Use our report to look up which of your current employees aren’t registered and help them do so.
-
Incorporate the step of registering online into your processes for onboarding new employees and assisting those who are leaving employment or retiring.
Step 2: Shred All Paper Forms & Encourage Employees to Manage Their Accounts Online
Please shred all of your TCDRS paper forms and encourage employees who come to you for help making account updates to make the changes in their online accounts.
-
Shred all of your TCDRS paper forms and remove links to forms from your website and intranet sites.
-
Get familiar with everything your employees can do in their online accounts.
-
If an employee needs help doing something online, show them our Co-Browse feature.
Step 3: Develop a Digital Backup Plan
If an employee doesn’t want to register at TCDRS.org, it’s important to have a digital backup plan in place.
-
Have them give TCDRS Member Services a call at 800-823-7782 for assistance. Our representatives can help them make account updates and can even take retirement applications over the phone.
-
Help them update contact information and beneficiaries within the TCDRS Employer Portal.
-
Encourage them to schedule a TCDRS Online Counseling appointment. In these short sessions, a representative will help them understand their benefits, answer questions and help them with account updates and applications.
If you need help assisting an employee, please reach out to TCDRS Member Services at 800-823-7782.
You can also find more information and resources to help with the transition on our Paperless webpage. In the meantime, you might want to start thinking of what to put in your office space now that you don’t need all of those paper TCDRS forms!
